Guidelines for Guest Presenters at Council Meetings

Preamble

The dispute resolution process, in place in all Yukon schools, outlines the communication procedure to be followed should a question, concern or incident arise at the school. The general principle is that an attempt at dispute resolution must be initiated at the level at which the concern or incident arose (i.e. teacher, then school administrator, then school council, and lastly with the superintendent). *See Communication Process Chart (below)

Principles

VCSS Council welcomes and encourages parents, guardians, teachers, students and the general public to attend council meetings as guests. For guests who’ve followed the appropriate steps in a dispute resolution and wish to present an issue at a meeting (henceforth called Guest Presenters), Council has implemented the following process in order to efficiently and effectively conduct meetings.

 1)     Guest presenters notify the Chair in writing, a minimum of one week prior to the meeting date, where they wish to present. At this time, the Guest Presenter informs the Chair of his/her topic and desired outcome.

 2)     Up to two Guest Presenters will be accommodated per meeting. Each Presenter will have 15 minutes to present and discuss their topic.

 3)     Guest Presenters will present after the Principal’s Report, and are welcome to stay for the remainder of the meeting.

 4)     Depending on the immediacy of the concern, a parent/guardian may address it with a council member prior to the meeting and ask to have the concern placed on the agenda.
