FINAL GRAD Meeting- 7pm Tues. May 12
We have hit fast forward and before we know it, it will be Grad Weekend. Please attend the final grad planning meeting if you can, this Tuesday at the Vanier Library, 7pm. We have some final decisions to make concerning floor plan, decorations and the program.
We had a walk through tour of the Kwanlin Dun Centre May 1, attended by many grads and members of the planning committee. We are very excited to hold our event at their beautiful facility. A few important details:
You will be provided tickets to the prom: You MUST bring those tickets. It's a public facility so we need the tickets to make sure we don't go over capacity.
Food will be served AFTER the Grand March and Grad Ceremony. That means you will not be eating until after 7pm. The catering will be provided by the Claim, and will feature finger food and appetizers at several stations throughout the building. This will not be a sit down meal.
Seating will be available in the Great Hall for the ceremony on a limited basis. Although seating is first come first served, priority will be given to elders, seniors and families with small children. Please help make this event accessible for all by ensuring seating is given to those who most need it.
Following the ceremony, the grads will participate in photo sessions while family and friends eat (grads will have a chance to eat as well). At that time, the staff of the KDCC will be rearranging the Great Hall seating to make room for the dance floor and prom. We ask that guests move into the other open spaces following the ceremony to allow the staff space to work.
If you DO NOT NEED all the tickets you have purchased for prom please advise the Vanier office; we have now closed ticket sales and no additional prom tickets will be made available. If you missed the cut off, you can be put on a wait list in case of cancellations. (Each graduate was assigned 5 tickets; if you don't need all 5, you can be refunded for those you do not need or choose to donate the refund to the After Grad fund).
After Grad: Takhini Transport have graciously donated the use of three school buses to take students from the prom back to Vanier for their after grad celebrations. Students are to bring their change of clothes to the school on Friday and will change when they return to the school. There are lots of fun activities planned for the party and some great prizes have been donated by local businesses. Students MUST remain throughout the night to be eligible for the draws.
Volunteers are STILL URGENTLY needed!
You will have received a package from the school containing a sign up sheet to help out with the many things that need doing over the grad weekend. Please see where you can lend a hand and submit the form to Ms. Trainor.

Grad Planning Meeting, Tuesday February 3 Meeting Notes: PDF
The main focus of the meeting was a decision about a venue for the banquet & prom. Ms. Trainor and Finance Coordinator Patti Balsillie had met previously and determined that with the budget available we could afford to use the Kwanlin Dun Cultural Centre or the Vanier gym. This takes into account the fact that decorating costs will be significantly lower than in past years and the KDCC would require very little decorating expense.
The group voted in favour of the Kwanlin Dun Centre. A walk through will take place over the next few weeks with an eye to security, catering set up and so on.
The grads hadn’t yet chosen a theme for the prom but A Night Under the Stars was a strong contender. That decision will be made by the students and we expect to hear their choice at the next meeting.
Grad raffle tickets are now on sale; hopefully you have received two books of tickets to sell. They must be returned to the school no later than March 30th. If any tickets are lost or stolen PLEASE contact the school immediately. There are important steps that must be taken in the event of loss or theft in order to ensure the raffle remains in good standing with Lotteries Yukon. Ticket sales are very important to our overall budget as they are the sole fundraiser to support grad and their sale keeps fees from rising.
Grad photos: if you pay for your grad photo package online with Wilson Studios, you will be required by the site to pay the $45 sitting fee. The sitting fee is included in the grad fees so you will be refunded by Wilson Studios directly.
Grad fees: Grad fees of $275 are now due. Please note that the portrait sitting fee CANNOT be deducted from your fees payable to Vanier even if you have paid Wilson Studios. Please see the Grad Fees letter here.
Rendezvous: The students again plan to participate in the grad challenge at Rendezvous. This contest offers a huge prize payout so the more grads get involved the better the outcome. Last year Vanier’s grad class took in $1500 from their Rendezvous activities. Hoping to see HUGE turnout from Vanier grads.
Our next meeting takes place Tuesday February 17th. Committees meet immediately after the main meeting. If you are interested in joining a committee please do; it's never too late.

- Grad Cap and Gown Ceremony - Saturday, May 23, 10:00 am in Yukon College Gym GRADS! Be at the College by 9:00 am at the latest!
- Grad Banquet and Prom - Saturday, May 23, 7:00 pm at the Kwanlin Dun Cultural Centre. Doors open at 6:30. Grand March at 8:00.
- After-Grad - Saturday, May 23, 10:00pm, in the small gym

Highlights:
- Walk through of the Kwanlin Dun Centre planned for 4pm May 1: all those on decorating committee or prom committee invited to attend.
- Grad fees remain outstanding for a record number of families. Please remit ASAP! Parent volunteers will be contacting those families whose fees are outstanding.
- Volunteers needed for all aspects of decoration, set up and take down. Please see the form in your recent mailing from the school.
- Need extra tickets for prom? Have more tickets than you need? Please see the form in your recent mailing and ensure you order and pay for your extras by May 8. If you have tickets you don't need you can sell them back. You will receive a refund or can choose to donate the difference to the After grad fund.

Update - January 9, 2015
- Next Grad Meeting is Wednesday, January 14 at 7 pm in the library. Our apologies for needing to postpone the meeting from Tuesday due to a scheduling conflict. Here's a draft agenda.
- Grad fees of $275 are due. Please see this letter for more details.
- Grad portraits are being taken at Vanier (in Room 31) during exam week. A schedule and information on purchasing portraits will be posted on this page shortly. (Update - Jan 12 - here they are! 1. General Info 2. Pricing 3. Vanier-specific info) All students should have their portraits done - there is no charge for the sitting fee, only for purchasing portrait packages.
- Grad raffle tickets will be distributed early in the new semester. Grads are expected to see two books of tickets each - that's all the fundraising we do for grad!
The next graduation meeting will be on Wednesday, January 14th 2015, 7:00 p.m. in the VCSS Library.
